Unlimited e-signing in Roosted (Jan 2026)
No per-document charges. Build templates, autofill fields, automate sending, and auto-store signed docs in employee profiles.

Onboarding paperwork should not slow down staffing operations. Starting January 2026, e-signing in Roosted is unlimited. That means no more per-document charges. Send as many agreements, policy acknowledgments, and onboarding packets as you want, whenever you want.
And you don’t need a separate DocuSign (or any other e-signature) subscription. E-signing is included at no extra cost and is free for all Roosted subscribers.
Big news for current customers: even if your existing contract includes per-document pricing, you won’t have to pay it for e-signing once you switch to the new e-sign experience in January 2026. It’ll take just a few minutes to convert (more details coming soon), and after that you can manage your own documents with zero per-document charges.

The problem: Onboarding paperwork is still a bottleneck
If you run an on-demand workforce, paperwork has a way of piling up at the worst possible time. A new hire needs an employment agreement signed today. Someone needs to acknowledge an updated policy. A credential expires. A site requires a new form. Suddenly, a simple process turns into a dozen follow-ups.
The usual workflow looks like this:
- Someone creates or edits a PDF
- Someone sends it out manually
- Someone chases the signature
- Someone downloads the final copy
- Someone renames it, uploads it, and tries to file it correctly
- Everyone hopes it’s easy to find later (especially during an audit)
Roosted is built to remove busywork from running a flexible workforce. E-signing is the next place we’re doing that.
What’s new in January 2026: unlimited e-signing in Roosted
Starting January 2026, e-signing in Roosted becomes 100% unlimited. The biggest change is simple: no more per-document charges. Use it as much as you need.
Just as important, you don’t need your own DocuSign subscription. E-signing is included with Roosted and is free for all Roosted subscribers.
If you’re a current customer, this matters right away: once you convert to the new experience (it’s a quick switch and we’ll share steps soon), you can keep sending documents without worrying about per-document fees, regardless of what your legacy pricing looked like.
This isn’t just “add a signature box.” It’s designed for teams that need onboarding and compliance documents to run consistently across roles, sites, and seasons.
Create and design documents (or use your own templates)
You can:
- Create documents directly in Roosted
- Upload and use your existing templates
- Standardize versions so everyone signs the right form, every time
This is especially useful when you have multiple locations, different job types, or fast ramp-ups where consistency matters.
Pre-fill fields automatically (name, role, rate, start date, more)
Roosted can programmatically fill fields so documents are ready to sign the moment they’re sent.
Examples of what you can pre-fill:
- Employee name and contact info
- Role, department, site
- Start date and manager
- Pay rate, classification, and other custom fields you track
Less manual entry means fewer errors, fewer follow-ups, and fewer payroll issues later.
Automate sending based on your workflow
Instead of relying on someone to remember “send the form,” you can automate documents based on triggers.
Example workflow:
- A new employee is added
- Roosted automatically sends an employment agreement plus company policies for signature
- The employee signs from any device
- The signed documents are stored automatically in their Roosted profile
This same approach works for:
- Handbook acknowledgments
- Safety policies
- Training confirmations
- Contractor agreements
- Role-specific forms
Automatically store signed docs in the employee profile
Once signed, documents are automatically saved in the employee profile. That means when someone asks, “Do we have this on file?” you can answer in seconds.
It also means fewer loose files floating around and fewer last-minute scrambles when audits or internal reviews come up.
How teams use it in the real world
Here are a few common ways teams put unlimited e-signing to work:
1) Fully automated new-hire packet
Send the entire packet the moment a hire is created: employment agreement, company policies, and any required acknowledgments.
2) Role- and location-based templates
Different roles need different forms. Different clients or sites might require different paperwork. Use templates and rules so the right document goes to the right person automatically.
3) Fast policy updates without spreadsheets
When a policy changes, send a refreshed acknowledgment to everyone (or just specific sites) and track completion without manual tracking.
4) Document-heavy environments
If you operate in environments where documentation matters, tying every signed form directly to the worker profile keeps things clean and easy to prove.
Compliance and audit readiness, without extra work
Unlimited e-signing helps you keep documentation consistent, complete, and easy to retrieve.
Roosted also supports the operational basics teams rely on:
- Scheduling and filling shifts fast: https://www.roostedhr.com/scheduling
- Mobile time tracking: https://www.roostedhr.com/time-tracking

Early rollout snapshot (pilot results)

- 60% fewer “missing form” escalations to ops and HR
- 2x faster retrieval of signed agreements during internal audits
Getting started
If you already use Roosted, you’ll be able to switch to the new e-sign experience in January 2026 (it takes a few minutes; details coming soon .. you’ll get an email alert about it in January with a how-to video). Once you’re on it, you can manage templates, automate sends, and stop thinking about per-document charges.
If you’re new to Roosted, you’ll get unlimited e-signing included, plus scheduling and time tracking in one place.
